Where hotel security systems actually fail

Hotels rarely lose a security system to a dramatic failure. They lose it to a quiet one — an interface that stopped talking after a software update, a door alarm nobody answers anymore, a lock audit trail no one on the current staff knows how to pull. Designing well for hospitality means designing around the specific ways these systems degrade.

The guest lock system is a separate world

Guest room locks are their own ecosystem, with their own encoder at the front desk, their own portable programmer, their own battery schedule and their own audit log. They are not part of the building access control system, and treating them as one interchangeable subsystem is the first mistake. The second is assuming the property management system interface will keep working. Those links break during a PMS version upgrade, and the symptom shows up at the front desk during check-in on a sold-out night. Whoever owns the PMS upgrade calendar needs to own that interface test too.

Lock audit trails only help if somebody can retrieve them. A property that cannot answer “who opened room 812 between two and four” within an hour has an unresolved liability question, and the fix is usually training and a documented procedure rather than new hardware.

Back of house is where the doors get propped

Laundry, banquet loading, receiving and employee entrances get propped open every day for legitimate reasons. If held-open alarms are configured without a plan for who acknowledges them, staff learn to ignore the panel within a month, and alarm fatigue is functionally the same as no alarm. Decide in advance which doors alarm, which log silently, and who is expected to act.

Elevator floor restriction is the coordination job that gets underestimated. A reader in the cab needs traveling cable capacity, elevator contractor involvement and a schedule that accounts for their lead time — this cannot be added late without cost.

Environments that eat equipment

  • Pool and fitness areas. Chlorine and humidity corrode standard housings and mounts; stainless hardware and sealed enclosures are the baseline, not the upgrade.
  • Lobbies with glass. Sunrise and sunset backlight through a curtain wall defeats an entrance camera aimed at the doors. Aim at the vestibule side, and specify wide dynamic range deliberately.
  • Exterior lots and porte-cocheres. Mixed lighting, vehicle headlights and covered-to-open transitions are the hardest views on the property.
  • Roof and mechanical access. Low-traffic doors that need reliable position monitoring precisely because nobody watches them.

Georgia properties, three different problems

Savannah’s historic district constrains what can be mounted on a facade and how conduit is routed through masonry, so exterior device placement should be settled early with the review process in mind rather than redesigned after a rejection. Coastal properties also need a real answer for hurricane season: how long the head end, network and locks stay functional on generator, and what the shutdown sequence is. Hotels along the Hartsfield-Jackson corridor run shuttles around the clock, which puts the operational risk in the parking lot and the shuttle bay rather than the lobby. Downtown Atlanta convention properties re-configure event space weekly and need a temporary credential process for AV crews, exhibitors and contractors that expires on its own instead of relying on someone remembering to revoke it.

What to fix first

If you are triaging an existing property, check these in order: does the lock-to-PMS interface still work, can staff pull a lock audit, which alarms are being ignored, which cameras have been blocked by a renovation or new signage, and does anyone hold administrator credentials in the hotel’s own name.
