Where Fob, Card and Keypad Systems Actually Fail

Electronic access hardware is rarely the thing that breaks. What fails is the procedure wrapped around it, in a short list of predictable ways. Reading that list first produces a better specification than reading a product sheet.

Fobs get copied

Basic 125 kHz fobs and cards broadcast a static number. Self-serve duplicators sit in hardware stores and locksmith shops, and copying a fob takes seconds out of a pocket or a desk drawer. Nothing in the panel records it, because the copy presents the same number as the original. If the security case for a door rests on the idea that only staff carry fobs, it is weaker than it looks. Encrypted 13.56 MHz credentials close that gap; the migration is the work, not the decision.

Codes spread, and keypads tell on themselves

A shared keypad code is a credential with no owner. It survives terminations, it ends up written inside a cabinet door, and it identifies nobody in the audit log. Keypads also wear: after a few years the digits in use are visibly polished, narrowing a guess to a handful of combinations. Keypads earn their place as a second factor behind a card, as an after-hours arming point, or on low-risk interior doors, not as the primary credential on a perimeter opening.

The door defeats the system

Complaints that start with “the access control failed” are often mechanical rather than electronic. A closer out of adjustment lets a latch bounce instead of seat. A propped door with no held-open alarm makes the reader decorative. A missing door contact leaves the software convinced an opening is secure while it stands open. Door position monitoring and a held-open alarm that reaches a real person cost little next to the reader, and they are the difference between a log and a record of what happened.

The credential list nobody prunes

Every system drifts. Contractors keep cards after the job closes, seasonal staff keep fobs after the season, and temporary badges quietly become permanent. Set a review interval, assign it to a named role rather than to whoever remembers, and make credential collection part of the same offboarding step that collects the laptop. A modest system with a clean cardholder list beats an expensive one with a stale list.

Georgia sites that stress the hardware

Distribution buildings along I-16 and I-95 behind the Savannah port put readers on dock-adjacent openings where gloves, forklift traffic and blowing rain are routine. Read range and mounting height matter more there than credential elegance: a fob on a lanyard read at a foot beats a phone that has to come out of a jacket. Gate and yard readers there sit at the end of long outdoor runs, so surge protection and grounding belong in the base scope, not in a change order after the first storm.

Warehouse and light-industrial buildings along I-75 near Macon, and around Columbus on I-185, add temperature swings inside unconditioned space that condense moisture on electronics overnight. Enclosure rating is a specification there, not a preference.

What a serviceable installation looks like

  • Credential technology chosen deliberately, with a written migration path off any static-number cards still in use.
  • Door position and request-to-exit devices on every controlled opening, not only the ones with alarms.
  • Power supplies sized from calculated voltage drop over the real cable run, with battery capacity matched to the outage you need to ride through.
  • A labeled panel, a current door schedule, and full administrator access held by the client.

Fixing what is already on the wall

Plenty of these systems do not need replacing. A worn keypad swapped for a reader, door contacts added where there were none, a closer adjusted so the latch seats, and a purge of stale cardholders often close more real risk than a new panel would.
